Competition Terms and Conditions
1. About the ENCON Schools Photo Competition:
a. The photo competition is run and managed by the Enstone Conservation Trust (ENCON). Registered charity number 1113828. Registered address The Rectory, Glympton, Woodstock, Oxfordshire, OX20 1AL
b. The competition is free to enter with multiple categories.
c. The aim of the competition is to celebrate the natural and heritage environment of the Enstone Uplands District
d. The competition is exclusively for current pupils of the three primary schools in the area covered by the Enstone Uplands District namely Enstone Primary School, Great Tew Primary School and Middle Barton Primary School
e. By entering the ENCON Photo Competition, you agree to abide by these terms and conditions.
b. Categories:
a. Images must be entered into one of the four categories. No image can be entered into more than one category.
• Wildlife – e.g. ducks, robins, bugs, butterflies, foxes
• Flora – e.g. wildflowers, trees and bushes, mushrooms and toadstools
• Buildings & heritage – e.g. churches, old houses, drystone walls, farm buildings
• Landscape – e.g. local fields, woods or rivers
b. Images must be entered within one of the two age bandings: a) Reception and Years 1, 2 and 3 and b) Years 4, 5 and 6
c. All images must be taken within the Enstone Uplands District – a rough area taking in the villages of Lidstone to the west and Middle Barton to the east, Church Enstone, Neat Enstone, Cleveley, Gagingwell, Great and Little Tew, Heythrop, Ledwell, Westcott Barton, Radford, Sandford St Martin and Over Worton.
c. Dates:
a. Launch date: Friday 28th March 2025
b. Closing date: Tuesday 22nd April 2025
c. The parents/carers of the winning photographers will be notified in May 2025. The parent/carer of each entrant must provide an email address when submitting images for this purpose. In the event that a winner is non-contactable, their entry will be forfeited and another chosen.
d. Schools will be notified of the results of the competition at the same time as the winning photographers and the winning photographs will be announced on the 19th May 2025 (provisional date) at the ENCON Schools Photo Competition prizegiving and exhibition.
d. Eligibility:
a. The competition is free of charge and open to all current pupils of Enstone, Great Tew and Middle Barton primary schools.
b. The entrant must be the creator of the image(s) submitted i.e. the photo has been taken by the pupil not a parent/carer
c. Parents/carers of pupils will be asked to declare that the images being submitted comply with these terms and conditions
d. Images that do not comply with all terms and conditions and image specifications will not be considered by the judges.
e. Image subjects:
a. Pupils or parents/carers on their behalf must ensure that they have the permission of anyone pictured in the image (or, where the image shows any persons under 18, the consent of their parent/carer). The Organiser and Promoters are not responsible for seeking this permission.
b. Pupils must take all reasonable care not to disturb wildlife, the historic environment, or the local environment in the pursuit of images. It is the parent/carer's responsibility on behalf of the pupil to be aware of and comply with the laws (e.g. in the case of protected species). Wildlife law and animal welfare requirements must not be breached and protected species or habitats must not be compromised. All images must be taken in a responsible manner which respects nature and wildlife.
c. Domestic pets are not eligible nor are animals in a closed environment e.g. a zoo.
f. Entering the competition:
a. All images should be entered via the online form on the ENCON website. Up to two images may be entered per category. Visit: https://encon.org.uk/
b. To improve quality of prints for the prizegiving/exhibition and the photobook, images should preferably be minimum 300 dpi and with a suggested file size of between 3 - 15MB. Only images entered via the ENCON website will be accepted
c. ENCON cannot be held responsible for any problems uploading images.
d. Images must have been taken within the Enstone Uplands District (see 2b)
g. Judging and prizes:
a. Judges will be appointed by ENCON and will select winning images based upon technical skill, diversity, originality and creativity. Judging will be anonymous.
b. In the event of a high volume of entries, there will be a pre-filter of submissions by ENCON
c. ENCON’s decision on all matters relating to the competition is final, and no correspondence will be entered into concerning the competition's judging and organisation.
d. ENCON reserves the right to substitute prizes. No alternative, cash or otherwise, will be given for any prizes.
e. Prizes for the winner of each category and age band will include a framed copy of the image, a
photobook containing the winning and highly commended entries and a £5.00 Jaffe & Neale book token
h. Image rights and use of images:
a. We would like to use the images to promote ENCON and the Enstone Uplands District. Entrants agree to grant ENCON a non-exclusive, irrevocable licence to reproduce, publish and exhibit in any medium, including print and digital, for the use of promoting the results of the competition and our wider aims.
This includes but is not restricted to: photo exhibits and for use in press and websites, including those not linked to the competition.
b. The entrants agree to give ENCON free usage sublicensing the shortlisted images for media and press articles or any other external communications related to the competition. The organiser will insist that images are credited to the photographer but cannot be held responsible for errors and omissions.
i. Disclaimer:
a. The information given in these terms and conditions is correct, but ENCON reserves the right to make changes without prior notice. By entering the competition, parents/carers of pupils will be deemed to have agreed to be bound by these terms and conditions. Any breach of these terms by an entrant will void their entry.
j. Use of data:
a. By entering, you agree to ENCON using your details for the purposes of managing your competition entry and properly attributing your photograph if it is used by us.
b. The entrant’s name will be used to attribute you as the author of your submitted photograph when it is used by ENCON.
